Event Coordinator - Full Time

Event Coordinator

We are looking for a highly motivated, organized, detail-oriented individual to fill the role of Event Coordinator. The Event Coordinator will perform various tasks to assist the Project Manager and Producers both in the office and on-site. Additional responsibilities include a variety of administrative tasks and day-to-day operations in the office.

Responsibilities include, but are not limited to:

  • Coordinate and oversee aspects of project execution both in the office and on-site under the direction of the Project Manager and Producers
  • Act in a variety of on-site roles on domestic and international projects
  • Communicate with vendors and teams to ensure project deadlines are met
  • Create and manage corporate/project documents
  • Assist technical teams with various tasks as needed
  • Manage policies and procedures for projects (e.g., pre-show meetings, budgets established according to company guidelines, show review, closeout meetings, documents on server, etc.)
  • Travel internationally to support on-site execution and management of events
  • Ensure corporate, project and proposal-related assets are properly filed on corporate server
  • Act as liaison within organization to ensure effective communication is met for company and team
  • Manage company equipment and assets on-site to ensure items are accounted for at all times
  • Coordinate and manage corporate travel and meetings as needed
  • Participate in weekly project status meetings and take progress notes/updates–assigning task ownership and timing to complete

Knowledge & Experience

  • Bachelor’s degree in business administration, communication or similar
  • Expert in Word, Excel, PowerPoint, Acrobat and Keynote
  • Minimum of 3 years of experience in a similar event management/coordinator role
